How to Report a Business Name Change to the IRS

If your business undergoes a name change, it is essential to notify the Internal Revenue Service (IRS).

Here are the key considerations:

  • If your Employer Identification Number (EIN) application is in process, you don't need a new EIN for the name change.
  • Once your EIN has been issued, a simple notification is usually sufficient to update your business name with the IRS.

For detailed guidelines, refer to IRS Publication 1635.

Procedures for Reporting the Change

You have two primary options for reporting your business name change to the IRS:

  • Include the information when you file your annual taxes.
  • Send a formal letter along with specific documents to the IRS via mail.

If you choose the second option, it is advisable to include the following:

  1. Certificate of formation/incorporation
  2. Amendment document reflecting the name change
  3. EIN verification letter

Mailing Address for the IRS: IRS, Stop 6055, Kansas City, MO 64999

Signature Requirements

  • For corporations, the letter must be signed by an authorized corporate officer.
  • For Limited Liability Companies (LLCs), a member should sign the letter.

Alternative Method: Using Form CP-575

You can also utilize Form CP-575 to report the name change. To do so, eliminate any irrelevant information from the form, include your request for the name change, and mail it to the IRS.

A sample request may read:

"To whom it may concern,

Please be advised that my company has undergone a name change. Enclosed, you will find the Certificate of Formation, amendment document, and the EIN verification letter for your records. The new name replacing the former one is 'X.' Kindly update the IRS records accordingly."

Important Notes: Include all listed documents with the letter. Physical printouts are acceptable; you don't need to provide official copies.

By following these steps, you can ensure a seamless transition for your business with respect to IRS records.
